Hosting an Event with the EDC

Thank you for your interest in hosting an event with us. We are excited to collaborate with you!

The EDC is a growing network of researchers, writers, designers, artists, activists, students, and others working together at the intersection of ecology and design. We are happy to support your event by sharing it with our network and helping you set it up in a way that you can also promote effectively. Please note that the EDC is coordinated by a small team of volunteer curators and graduate student organizers. The following guidelines are designed to help make your event as smooth and successful as possible.


Event Timing

  • We maintain a monthly calendar of events.
  • If you would like an EDC curator or coordinator to assist with logistics, please coordinate with us at least one month in advance.
  • To ensure timely planning and promotion, please provide all event details at least three weeks in advance, ideally earlier.
  • Events can be held on any day or time. Consider your target audience when choosing your date and time.
  • For communication, please use the messaging feature on our platform as much as possible.

Event Development

  • EDC membership is encouraged for attendees. This supports our community-building efforts.
  • Once attendees join the platform, they can RSVP directly—no need for Eventbrite or external registration tools.
  • For in-person events, you are responsible for selecting the venue and serving as the on-site host.
  • For online events, we offer integrated Zoom functionality. Attendees can join via the EDC platform or their Zoom apps. The RSVP confirmation will include a direct Zoom link and password.

Event Publicity

  • We are happy to create an event poster and event page using the details you provide.
  • If you have design preferences, please communicate them clearly and early.
  • We will share a draft for your feedback, but please note we are only able to accommodate one round of revisions.
  • Your event will be promoted through our calendar, newsletter, and social media.
  • We encourage you to promote it within your own networks. Personal outreach significantly improves attendance, whether in-person or virtual.

Day-of Event Coordination

  • We will do our best to have an EDC curator or coordinator present to welcome guests and assist with logistics.
  • For online events, please schedule a brief technical check-in at least ten minutes prior to the start time.
  • The Zoom meeting will require a password, which we will provide in the event post and RSVP confirmation.
  • Attendees logged into the EDC platform will not need to enter the password.
